1. Who we are

This website, synchromusic.uk, is operated by Synchromusic, a boutique music house based in London. Synchromusic is in the process of incorporating as a limited company in England and Wales: once incorporation is complete, this policy will be updated with the company’s registered details.

Synchromusic is the controller of the personal data described in this policy. For any question about your data, or to exercise your rights, write to info@synchromusic.uk.

2. What data we collect and why

Project enquiries (Start a Project form)

When you contact us about a project, we collect your name, email address, subject and message. We use them only to reply to you and, if we work together, to manage the project.

When you send the form, our team receives an internal Telegram notification with your name, email address and subject only. Your message is not included in the notification and is not stored in our internal tools: it reaches only our business inbox.

Legal basis: our legitimate interest in responding to business enquiries, and steps taken at your request before entering into a contract.

Composer and artist submissions (Submit Your Music form)

When you submit your music, we collect your first and last name, artist name, email address, country, links to your music and to your website or social profiles, the genres you write in, your PRO and IPI/CAE number, a short introduction and, if you choose to upload one, a profile photo. If you do not upload a photo but provide a Spotify artist profile, we retrieve the public profile image from Spotify.

We use these details to listen to your music and decide whether to add you to our composer roster. To make that decision, a summary of your submission is sent to our team through an internal Telegram notification. If your submission is accepted, your details are added to our internal composer roster and used to send you sync briefs that match your sound.

Legal basis: your consent, given when you tick the consent box on the form. You can withdraw it at any time by writing to us. We also rely on our legitimate interest in reviewing submissions and in recognising repeat submissions (see section 4).

To keep our roster consistent, the genre labels you write (and only those, with no name, email or other personal details) are standardised with the help of an AI service, Google Gemini. Every decision about your submission is made by a person on our team: no decision is taken by automated means.

Website statistics

We measure visits to this website with Cloudflare Web Analytics, which does not use cookies and does not track individual visitors. We only see aggregated figures such as page views and visitor countries.

Spam protection

Our forms are protected by Cloudflare Turnstile, which checks technical signals from your browser to confirm that a form is being sent by a person and not a bot. It is not used for advertising or tracking.

3. Cookies

This website uses only cookies that are strictly necessary for it to work. We do not use advertising cookies or analytics cookies.

4. How long we keep your data

  • Project enquiries: up to 24 months after our last contact, unless we start working together, in which case we keep project records for as long as required by law.
  • Composers who join our roster: for as long as you are part of the roster. You can ask to be removed at any time. The copy of your submission used for our decision is deleted once you have been notified.
  • Submissions we do not take forward: your personal details and photo are deleted as soon as we have notified you of our decision. We keep only your email address, the date and the outcome of the decision for 12 months, so that we can recognise a repeat submission. After 12 months these are deleted too, and you are welcome to submit again.

Copies of form submissions also reach our business inbox. We delete them in line with the periods above.

5. Who processes your data on our behalf

We use trusted service providers to run this website and our internal tools. They process data only on our instructions:

  • Hostinger: website hosting and business email.
  • Supabase: the database of our internal composer roster and of the briefs we send to composers, hosted in the European Union (Ireland).
  • Vercel: hosting of our internal roster application.
  • Cloudflare: spam protection, website statistics and network security.
  • Telegram: internal notifications to our team about new submissions and project enquiries.
  • Google (Gemini): standardisation of genre labels only. On the service tier we use, Google may use the text it receives to improve its products; for this reason we send it genre labels only, never personal details.
  • Spotify: retrieval of your public artist profile image, only if you provide your Spotify artist link and no photo.

Some of these providers may process data outside the UK, including in the United States. Where this happens, the transfer is protected by the safeguards required by UK data protection law, such as the UK International Data Transfer Agreement or Addendum, or the UK-US data bridge where applicable.

We never sell your personal data.

6. Your rights

Under UK data protection law you have the right to access your data, to have it corrected or deleted, to restrict or object to its use, to receive it in a portable format, and to withdraw your consent at any time. To exercise any of these rights, write to info@synchromusic.uk. We will reply within one month.

If you are not satisfied with how we handle your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

7. Age

Our forms are intended for people aged 18 or over.

8. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
